Archive boxes and stock on a storage shelf
Business storage: stock, archives and seasonal goods

Is your stock outgrowing your warehouse, is your archive taking over office space, or do you face a peak every season? External storage gives you flexible space without a long lease โ€” you only pay for what you use. This guide lays out when business storage makes sense per type, what to look for, and roughly what it costs.

BUSINESS STORAGE: FOR STOCK, ARCHIVES & SEASON

Short answer: businesses turn to external storage as soon as office or warehouse space gets tight โ€” with growth, seasonal peaks, a renovation or a growing e-commerce stock. You scale monthly and pay only for what you use, at a fraction of the cost of extra warehouse or office space and without a long lease.

๐Ÿ“ˆ Growth: stock no longer fits in your warehouse

๐Ÿ—„๏ธ Archive: paperwork you must keep but that's in the way

๐Ÿน Season: patio furniture, event materials or seasonal stock

๐Ÿ—๏ธ Renovation or relocation: store inventory safely for a while

STOCK & E-COMMERCE

Flexible alternative to a bigger warehouse โ€” without a long lease.

  • Shop stock, webshop inventory, overflow or seasonal stock
  • Scale up or down at any time โ€” pay only for what you use
  • Important: in- and outbound frequency determines whether wide loading access matters
  • Ideal for overflow around peak moments (Black Friday, Christmas)

ARCHIVE

Paperwork that can't go, but takes up office space.

  • Rarely consulted archives โ€” external storage without breaching retention rules
  • Store dry and secured โ€” damp = paper's worst enemy
  • Sensitive files behind access control (GDPR requirement)
  • Trend: digitise daily-needed papers; rest goes external

SEASON, EVENTS & HOSPITALITY

Capacity that moves with the season. See also our consumer guide on seasonal storage for examples and packaging tips that also apply commercially.

  • Hospitality: patio furniture outside terrace season
  • Events: staging, decor, audio equipment between productions
  • Retail: seasonal stock that only sells part of the year
  • Up: when needed. Down: when possible โ€” no fixed yearly costs

RENOVATION & RELOCATION

Furniture, stock and archives need a safe place for a while. See our guide on storage during renovation for the full approach โ€” timing, insurance, what goes and what stays.

ARCHIVE: MIND THE RETENTION RULES

Certain business documents must be kept by law: for tax administration the guideline is around seven years, longer for some data. At the same time GDPR requires you not to keep personal data longer than necessary. The exact periods differ per document type โ€” check with the Dutch Belastingdienst (tax office) or a lawyer before destroying anything. We are not a tax or legal adviser.

WHAT TO LOOK FOR IN BUSINESS STORAGE

Not every storage option suits business goods. Look at security, climate, access, flexibility and insurance. Look beyond the monthly price: for a business, a short notice period and the ability to scale are often worth more than the lowest bare rent.

๐Ÿ›ก๏ธ Security: cameras, alarm and access control

๐ŸŒก๏ธ Climate: dry and controlled for paper and electronics

๐Ÿ” Flexible: scale up or down monthly, short notice period

๐Ÿงพ Costs: business rates are usually quoted excl. VAT

SECURITY & CONFIDENTIALITY

Business goods and sensitive files call for a secured space.

  • Camera surveillance, alarm and access control
  • Ask: how is access arranged, who has rights?
  • GDPR requirements: HR, customer, legal data โ†’ access control mandatory

Tip: unsure whether external storage fits your GDPR obligations? The Dutch Data Protection Authority has practical guidance on data storage โ€” especially relevant for external processor responsibility.

CLIMATE & CONDITION

Paper, electronics and stock are sensitive to damp and temperature swings.

  • Dry, clean, climate-controlled space prevents mould + deterioration
  • For archive and fragile goods: not a luxury, but a requirement
  • At Inbox: dry, heated and monitored โ€” standard for every unit

FLEXIBILITY & SCALABILITY

A business grows, shrinks and has peaks โ€” flexible scaling is crucial. See what storage costs per month for the tiered discounts on longer periods.

  • Scale up and down between periods
  • Short notice period โ€” no long lease
  • Pay only for space you actually use

COSTS & INSURANCE

Price = fixed + variable part; depends on volume, duration and service level. Business rates are exclusive of VAT. Check how your goods are insured โ€” especially for higher value or special items, report this in advance. For context: our guide on insurance for storage and moving.
